This includes client information such as names, addresses, contact details, billing information, site or event details, CCTV footage, incident reports, and alarm system information for key holding services.

For staff and contractors, we may collect names, contact details, SIA licence information, proof of identity and right to work, employment history, training records, vetting information, and operational reports.

During security operations, we may also collect information from members of the public, including CCTV footage, incident details, witness statements, and behavioural observations relevant to safety and security. We only collect data that is necessary for lawful security operations.


3. How We Use Personal Data
 

We use personal data to deliver our contracted services, verify staff identity and licensing, respond to alarms and emergencies, produce incident reports, maintain safety and legal compliance, communicate with clients, manage billing and accounts, and meet insurance and regulatory requirements. We do not sell or share personal data for marketing purposes.


4. Legal Basis for Processing
 

We process personal data under lawful bases including contractual necessity, legal obligations such as compliance with SIA regulations and employment law, legitimate interests in ensuring safety and preventing crime, and consent where required.


5. CCTV & Incident Reporting
 

Where CCTV and incident reporting form part of our services, all footage and reports are stored securely and access is restricted to authorised personnel only. Information may be shared with law enforcement where legally required, and retention periods follow industry standards and legal obligations.


6. Key Holding & Alarm Response Data
 

For key holding and alarm response services, we securely store keys, access codes, alarm details, and site information. Keys are kept in controlled-access secure storage, and we do not duplicate or share access information without written permission.


7. Sharing Your Data
 

We may share personal data where necessary with law enforcement, emergency services, insurance providers, regulatory bodies such as the SIA, professional advisers including accountants and legal representatives, and subcontractors operating under strict confidentiality agreements. We do not share data unnecessarily.


8. Data Storage & Security
 

We take data security seriously and use industry-standard measures such as encrypted digital storage, secure key storage systems, access-controlled systems, staff confidentiality agreements, and regular data protection training.


9. Data Retention
 

We retain personal data only for as long as necessary. Incident reports are typically retained for between three and seven years, CCTV footage is usually kept for 30 to 90 days unless required for investigation, client records are retained for six years for accounting purposes, and staff records are kept in line with employment law requirements.
